If you rely on enquiries from your website, social media, or referrals, automation can help you turn interest into opportunity, without the need for constant manual follow-up.

Using one of the many forms providers you can easily build enquiry forms that capture key details about your prospective clients and then link those forms to a CRM like Pipedrive where a new lead is automatically created and tagged based on service type, urgency, or location.

You can also start a tailored email sequence using ConvertKit to keep the conversation going until they’re ready to engage with you.

Benefits: No lead goes missing, you look polished and professional, and you’re nurturing new business 24/7, even while you sleep. There’s nothing better than waking up to new clients booking onboarding calls.

Onboarding can make or break a client relationship. Automating the process ensures every client receives the same high-quality welcome and knows what happens next.

Trigger a workflow when a client signs a proposal or makes a payment. This could include sending a welcome email, contract (see my YouTube video on this), a project intake form, and a booking link for their kickoff call. Tools like Zapier or Make can connect these steps so you’re not repeating yourself every time a new client comes on board.

Benefits: Makes a strong first impression, keeps projects moving, and removes repetitive admin from your plate.

Simplifying Scheduling and Reducing Back-and-Forth

Tired of emails like “What time works for you?” Automate your scheduling and let clients choose a time that fits your preferred times. Use tools like Calendly, or Pipedrive’s Scheduler to set your availability and connect your calendar, Zoom, or Teams. Embed booking links into your proposals, onboarding emails, and website.

You can also collect intake questions ahead of time, so you show up prepared and informed.

For ongoing services, consider subscriptions or retainers with automatic billing. Use checkout pages that connect to your CRM so client status is always up to date.

Log enquiries, contracts, session notes, or project milestones in a CRM like Pipedrive, Airtable, or even a custom Notion database. Set triggers to remind you to follow up, send updates, or schedule check-ins. Integrate with tools like Slack or email to stay on top of what matters.
