Today in this video I’m going to show you how automation and
AI agents can completely transform how your business works and how it has
done that for my business saving at me at least 10 hours of every week.
This isn’t just some gimmick, and it’s not just vanilla chat GPT either. These are
real systems designed to work like employees within your business, handling
repetitive tasks so you don’t have to.
This is how you scale smarter without hiring an army of people. If this sounds

Hi there, my name is Chris and for the past few years I’ve

now AI agents.
For most businesses, I think the biggest bottleneck is time. You and your
team are buried under repetitive tasks that aren’t really driving revenue and
while you’re grinding away at this busy work, your competitors are probably
investing in systems and automations that allow them to scale faster and at
lower cost.
Here’s the reality. The pace of change is only accelerating. tools and AI systems have dramatically
improved and the efficiency gains they offer are only getting better and
better as we go along. Whether you’re a solopreneur like me or leading a small
team, embracing automation isn’t just an option. It’s going to become a necessity
if you want to get ahead.
Before The Workflow Chaos Before Automation businesses embrace automation, this is
what a typical workflow looks like. So, client requests come in in email. Tasks
and requests are often scattered, poorly structured, and kind of hard to track.
Next, you will probably update an Excel sheet to manage your progress. people refer to these as their systems,
but they’re actually pretty time-consuming to manage and they’re prone to
human error and then you’ll probably jump into your task manager of choice
and manually create an assignment either for you or for members of your team and
then as you go around the loop, you’ll finally check your emails again, go
through the spreadsheet again, and then go through your task manager again and
you’ll do this repeatedly over and over until you you’re absolutely sure that
nothing has slipped through the cracks.
Each of these
steps may seem quite minor on their own,
but together uh they eat up hours of
your time every single week. Uh and
here’s the issue. None of this admin
work is directly driving business
revenue.
It’s critical to keep the business
running, but it’s pure overhead.
So, if this sounds familiar, trust me,
you’re not alone. Most businesses are
still stuck here. Uh, and it’s exactly
where so many are. But the good news is
you don’t need to hire multiple people
to fix this.
AI and automation can handle these tasks
seamlessly at a fraction of the cost and
very little effort. I didn’t automate my
business overnight. Uh as you can

imagine it was a gradual shift as the
tools and the technology evolved. Uh
today my business runs on a combination
of Zapia automations, make integrations
and AI agents are used to tackle
specific tasks just like a team of real
colleagues.
So let me try and break this down for
you. So um really no one wants more
email. uh but there are many of us using
it from form entries. So the form is
submitted and we’ll send an email.
You’ll get your notifications by email.
You’ll get your data transfer by email.
And there’s also a raft of incoming
email in terms of admin tasks.
The trick here is to stop the email from
getting into your inbox in the first
place. And pretty much all email
applications come with simple rules and
automations out of the box. And in my
case, I put some of those rules in
place, the really simple ones to start.
Then I moved over to putting client
meetings and bookings uh and
communication straight into my CRM. So
it doesn’t appear in email at all. And
then I completely stopped the back and
forth emails with a meeting scheduleuler
which allows customers to schedule a
time that fits with when they are free
and then sort of simply fit in with the
time zone that I’m working in. And
really this was just the start. My
projects follow a similar framework. So
I’ve created a template to make this
sort of uniform and it stops me
forgetting anything. I simply mark my
deal as one in pipe drive and it
automatically creates a project within
notion for me. Then I just simply click
a button in notion and the project tasks
are created. Think of that sort of two
clicks to set up an entire client
project. My AI agents kind of supplement
these automations where a bit of
decision making or creativity is needed.
So for example, if I create a new blog
post on my website, an AI agent will
pick this up and automatically create a
social media post and then we’ll post it
on the appropriate channel.
The result is that my systems handle
about 80 or 90% of the admin tasks while
I focus on the high level activities
like talking to clients, delivering for
clients, growing revenue and
strategizing for the future.
For me, the core of my business and the
bit that I like most is talking to
clients about their issues and working
through their specific projects and
giving them the results. That’s the bit
that I really enjoy and not the admin.
Let’s take a little bit of a step back
here and talk about the pain points. Um,
The Pain Points Automation Solves
this is what automation and AI can
generally solve. So think about
repetitive tasks. So updating
spreadsheets,
um assigning tasks, checking emails,
that can all disappear.
And then there are things that have a
people dependency. So the business isn’t
limited by how much time uh either me or
the team would have. It can scale at
will and it can also run 24 hours a day.
So quite often I will have clients set
up meetings and calls or be automated
and I will be fast asleep in bed.
And then there’s error reduction. So if
you have an automation that runs
smoothly and has been well tested, um
automations don’t make mistakes. Uh
humans make miss deadlines, they make
typos. You know we are human but once an
automation has been set up and tested
well it just works.
So imagine then freeing up around about
10 hours a week for me. What would you
do though with that time? You could
spend the time strategizing. You could
spend time with family. You could kind
of give up on the work itself and go do
something completely different.
um the benefits kind of ripple through
every part of your business and also
into your life if you’re a soloreneur.
For me uh I spend quite a lot of time
traveling and of course I spend a lot of
time sat on the So this is why I believe
AI Agents Are The Future
that automation and AI agents are the
key to growth. Automation workflows and
AI agents uh kind of work like teammates
or colleagues in your business. They
retrieve information. They can analyze
it. They can make decisions if you’ve
programmed with them with rules and they
can feed results back into your other
systems. So, for example, your sales
agent could perhaps prequalify some of
the leads coming into your business. Um,
it could take that information from
website inquiries and then instantly
update your CRM with the top prospects
and could qualify them for you. Your
content agent could write blog entries
or certainly give you outlines and
drafts. Uh, it could look at analysis of
market trends and it could take a look
at other channels of social media for
what is kind of trending in your sector.
And then your finance agent, for
example, could pull reports, could track
expenses, uh, and alert you to
anomalies, kind of working on autopilot.
For me, my finance agent, uh, takes all
of my invoicing out of my email and
files it within my uh, finance tracking
software.
It’s kind of like hiring a team, but
just for the cost of a few software
subscriptions. And that scalability
really is what unlocks the potential and
growth for entrepreneurs and businesses
alike. So if you’re ready to automate

the first thing is look at bottlenecks.
Uh it’s fairly simple to write down the
top three to five repetitive tasks that
are eating your time.
Uh start small. Um, just start with the
example I mentioned above by running
rules via email. Then use something like
Zapia or Make to create basic
automations that connect to other
systems like your CRM or to send you
notifications when things happen.
Then once you’ve matured beyond the
automations, you could start looking at
building AI agents.
um start by exploring you know tools
like uh open’s chat GPT there are agents
built into that on the uh subscription
level you could build custombuilt
solutions and then you could start to
test them on relatively lowrisk tasks
before you start to scale those
if you need kind of help and this is
